Privacy and Cookies Policy

This Privacy and Cookies Policy regulates the processing of personal data belonging to users (hereinafter "User" or "Users") collected by Nova SBE Venture Lab hereby represented by NForum Executivos – Formação e Consultoria, Unipessoal, Lda. (hereinafter “NForum”) during the use of the Nova SBE Future Board platform and reflects the latter's institutional commitment and diligences towards the privacy and processing of Users' personal data.

The provision of personal data for navigation in the Nova SBE Future Board is subject to express knowledge and acceptance of this Privacy and Cookies Policy.


1.1 A Nova SBE Venture Lab initiative hereby represented by NForum as Data Controller

Nova SBE Future Board is an initiative of the Nova SBE Venture Lab (the Nova SBE entrepreneurship & innovation Knowledge Center), hereby represented by NForum. Nova SBE Future Board is a new platform in which we will analyze replies to different surveys, with a view to, ultimately, gather information about future consumer needs and preferences with the aim to discover insights for an inspiring tomorrow. Nova SBE Future Board members, will share their opinions and visions, to better understand the future trends, and translate insights to innovate and co-create new products, services, business models or even companies. Nova SBE Future Board will produce statistics and reports based on participants’ inputs, in an aggregated (non-identifiable) format.

Nova SBE Venture Lab hereby represented by NForum, acting as data controller, is responsible for the processing of personal data belonging to Users for said purposes, in the context of each of the surveys Users fill out in Nova SBE Future Board.

1.2 Use of the platform

Access and navigation in the Nova SBE Future Board in general does not necessarily require the provision of Users’ personal data.

However, the use of certain features, such as accessing and replying to surveys, requires the provision of personal data (for example, the User’s student number and e-mail address). In these cases, Users will only have access to the features in question after providing the necessary personal data, which will be processed exclusively in accordance with and for the purposes described herein.

1.3 Personal data

Upon Users’ completion of the first survey in the Nova SBE Future Board, we collect Users’ institutional student number and e-mail address for the purposes of sharing with Users privileged access to the snapshots and reports produced, contacting Users when a new survey is released in the Nova SBE Future Board and of operating its reward-for-participation system.


Users who do not provide their e-mail address and student number will still be able to navigate the Nova SBE Future Board and view available content therein, although they will not be able to access the snapshots and reports produced or the reward-for-participation system.

Additionally, in the context of each of the surveys Users reply to, and only upon Users’ consent, we collect other categories of personal data relating to Users, which vary according to each survey. This may include information about Users’ profile, preferences and lifestyle (such as demographics, housing and mobility, personality traits, personal skills, work experience, hobbies, supported causes, customer and online experience). We will process this data in such a manner that cannot render Users identifiable without the use of additional information. Thus, we will not associate the answers Users provide to the surveys with their respective e-mail addresses or student numbers.


2.1 We process personal data for managing and enabling the use of the features available in Nova SBE Future Board, such as collecting and analyzing Users’ responses to surveys and operating the reward-for-participation system, as well as for contacting Users when new snapshots and reports are produced, a new survey is released in Nova SBE Future Board or for granting rewards-for-participation.


2.2 The processing of personal data is based upon the Users’ explicit consent.


2.3 Users may withdraw their consent to data processing for the purposes indicated in 2.1. at any time. If Users do so, data will no longer be processed for said purpose, although this does not affect the validity of the data processing previously carried out based on Users’ consent.


2.4 For withdrawing consent, Users may use the means of contact set-out in Clause 9 of the present Policy (“HOW CAN I CONTACT YOU”) or opt-out through this link Unsubscribe.


3.1 We may transfer Users’ data to data processors for the purposes mentioned above, pursuant to an agreement signed with said entities, who will process Users’ data under written instructions issued by us. Said processors include information system maintenance and support service providers, consultancies and law firms, who in turn provide sufficient guarantees to implement appropriate technical and organizational measures in such a manner that data processing meets the requirements of the applicable data protection laws and ensures the protection of the rights of Users.


3.2 If the processors we resort to are established in a country outside the European Economic Area (EEA), we will ensure said processors are established in a country deemed by the European Commission to grant Users’ data an essentially equivalent level of protection to the one granted in the EEA, or that said processors are certified under the EU-USA Privacy Shield.


3.3 We may also transfer Users’ data to third parties when we deem said communications adequate and necessary (i) under applicable laws and regulations, (ii) for the fulfilment of any court order or (iii) to comply with public or governmental authorities’ lawful requests. In those contexts, we may forward Users’ data, notably, to competent Courts, Solicitors, criminal police or Public Prosecutors, upon notification.


3.4 We may also make available to third-parties (notably, our corporate partners and clients) the aggregated reports (in a non-identifiable format) we produce on the basis of the data we collect in the Nova SBE Future Board surveys. The information included in the reports will not allow said third-parties to identify any Users.



4.1 In accordance with applicable law, Users, as data subjects, have the following rights: Data subject rights

4.1.1 Right of access

Right to obtain from us confirmation as to whether or not your personal data is being processed, and, where that is the case, to obtain a copy of the personal data undergoing processing.

The right to obtain the aforementioned copy shall not adversely affect the rights and freedoms of others, including our business secrets or intellectual property, in particular the copyright protecting the software.


4.1.2 Right to rectification

The right to obtain from us, without undue delay, the rectification of inaccurate personal data that relates to you.


4.1.3 Right to erasure

The right to obtain from us the erasure of your personal data without undue delay.

Such right shall not apply when data processing is necessary for the fulfilment of legal obligations applicable to us or for the establishment, exercise or defense of legal claims or whenever courts are acting in their judicial capacity.


4.1.4 Right to restriction of processing

The right to obtain from us the restriction of processing of personal data, by suspending the processing or limiting the processing to certain categories of personal data or certain processing purposes.


4.1.5 Right to data portability

The right to receive the personal data concerning you, which you have provided to us, in a structured, commonly used and machine-readable format, and have the right to transmit those data to another entity acting as data controller.


4.1.6 Right to object

The right to object, on grounds relating to your particular situation, at any time to processing of personal data concerning you that we may undergo pursuant to its legitimate interests.

4.2 Users’ may exercise the abovementioned rights through the means provided in Clause 9 of this Policy (“HOW CAN I CONTACT YOU?”).



5.1 We will keep Users’ personal data only as long as they are necessary for producing the reports, in any case, for no longer than one year, or until the moment Users withdraw their consent or opt-out of the Nova SBE Future Board platform through the available means.


5.2 We may retain information for a longer period as long as the retention is necessary to comply with any legal obligations applicable to us, notably stemming from (i) applicable laws and regulations, (ii) any court order or (iii) public or governmental authorities’ lawful requests.


6.1 We use our own and third-party cookies to collect and retain information, so as to provide a more personalized service that meets Users' expectations.


6.2 The Cookie is a text file that is automatically stored in users' web browsers when they access certain websites. The cookie allows us and third parties to identify the web browser on the server, store information aimed at improving user experience, and analyze and review website performance.


6.3 Cookies may be classified into two groups: session or persistent. Session cookies expire automatically when a User closes his or her web browser. Persistent cookies remain in the web browser until they expire or are eliminated. Expiry dates vary according to the nature and purpose of each cookie, as per the information available through our list of cookies.


6.4 Cookies mentioned in this table will be used by us, strictly for the following purposes:

6.4.1 Strictly Necessary Cookies

These cookies allow access to the Future Board functionalities and are therefore always active. These include session and security cookies.

6.4.2 Performance Cookies

These cookies collect information about the use of the Future Board to improve the services provided and to evaluate its performance. Cookies may be used to test pages or features by measuring the reaction of Users. Performance cookies used on the Future Board may belong to us and/or belong to third parties.

6.5 Each User is linked to an individual cookie, which ensures data privacy and security. Statistical data is presented in aggregate form, not individually, and does not enable User identification. It is therefore possible to evaluate the performance of the website, towards its constant improvement, to meet the User's needs and expectations.


6.6 Web browsers allow users to manage their cookies. Users can configure their device settings to accept all cookies, know when a cookie is set or never receive cookies. You can deactivate the cookies function through the web browser at any time, usually in the "Preferences" or "Tools" menu. See the "Help" menu for further details on configuration in your web browser.


6.7 Please note that by completely turning cookies off, some/all features of the Website may no longer be available.

7.1 We are extremely cautious in relation to the privacy and security of User’s Personal Data. Therefore, it uses Secure Sockets Layer (SSL) encryption in the transmission of data exchanged with us on the Internet.


7.2 We also state that we use and will continue to use all technical means at our disposal to prevent loss, misuse, alteration, unauthorized access or misappropriation of personal data provided or transmitted. In any case, it should be noted that, by circulating data on an open internet network, the risk of unauthorized access and use cannot be completely eliminated, meaning that the User must implement appropriate security measures when browsing the Future Board.


Without prejudice to the remedial means made available by us (see Clause 9, below), or to any other administrative or judicial action, Users have the right to submit a complaint to the supervisory authority of their habitual residence, their place of work or of an alleged infringement of the data protection legal framework, should they consider that the processing of their data by us at any time breaches said legal framework.

10.1 We may change this Privacy Policy at any time, in which event said changes will be duly made available on the Future Board Platform.

10.2 In case the changes to the Privacy Policy result in a substantial alteration in respect of how Users’ personal data are processed, we will notify Users’ of said changes through the contact details Users have provided or that we have obtained through any other means.
